How far in advance should you book an exhibition stand?

It’s one of the most common questions we get, and it’s a fair one. Book too early and it feels premature. Leave it too late and you’re paying more for less, or scrambling to get something ready in time. This guide gives you a straight answer on lead times and explains why booking early is nearly always the better move.

The short answer

For most stands, book at least four to six weeks before the show. For larger or more complex builds, or for busy venues, eight to ten weeks is safer. And if you want a fully custom stand, earlier still.

Those are minimums, not targets. If you know your show date now, there’s no benefit in waiting. The earlier you start, the more options you have and the smoother the whole thing runs.

Why booking early helps you

There are a few solid reasons to get moving sooner rather than later.

Better design. A good stand comes from a proper design process. That means time to understand your brand, draft a concept, show you a 3D visual and refine it based on your feedback. Rush that and you get a weaker result. Give it room and you get a stand that actually works.

More choice. Popular stand designs, materials and finishes get booked up, especially around busy show seasons. Early booking means you get what you want rather than what’s left.

Time to fix problems. Graphics need approving. Sometimes a design needs adjusting. Occasionally something needs reprinting. When you’ve booked early, there’s time to sort these out calmly. When you’ve left it late, every small issue becomes a crisis.

Less stress. This one is easy to overlook. Exhibiting involves a lot of moving parts. Booking early means you’re not lying awake the week before wondering whether your stand will turn up. It just gets handled.

What happens when you leave it late

You get less design time, so the stand is more likely to be a standard option than something tailored to you. You may pay rush charges for fast turnaround on production or graphics. Your choice of design and finish narrows. And you carry the risk that something goes wrong with no time left to fix it.

None of that is where you want to be in the days before an important show. The show itself is stressful enough without a stand that’s still uncertain.

Busy periods to watch

Some times of year are busier than others in the exhibition calendar. Spring and autumn tend to be peak show seasons, which means suppliers, venues and production are all under more demand. If your show falls in a busy window, add extra time to your planning. What might be a comfortable lead time in a quiet month can be tight when everyone is exhibiting at once.

The same goes for the biggest venues. A major show at a large venue involves more people, more logistics and tighter schedules. Give yourself more runway for those.

If your show is only a few weeks away, don’t assume it’s too late. It often isn’t. It just means moving quickly and being realistic about the options. A modular stand or a well designed shell scheme upgrade can be turned around faster than a full custom build.
