How to get more leads at a trade show

A trade show is only worth it if you come away with leads. You can have a great looking stand and a busy few days, but if nobody useful gives you their details, the show hasn’t paid for itself. This guide covers practical ways to pull in more leads, from before the doors open to after you’ve packed up.

Start before the show

The best lead generation starts weeks before you arrive. If people already know you’ll be there, they can plan to visit you.

Tell your existing contacts you’re exhibiting. Post about it on your channels. If the show has an app or an attendee list, use it to reach out to people you’d like to meet. A handful of booked meetings before the show even starts gives you a base to build on. It’s far easier than relying entirely on catching people as they walk past.

Make your stand easy to approach

A lot of leads are lost simply because a stand is hard to walk into. A wall of product, a table across the front, or staff huddled together all send the same message. Stay out.

Design your stand so people can step in without feeling trapped. Keep the front open. Give visitors a clear focal point, whether that’s a screen, a product or a simple bold message. The easier it is to approach, the more people will.

Clear branding helps here too. If someone can tell what you do from across the aisle, they can decide to stop. If they have to work it out, they’ll keep walking.

Give people a reason to stop

Foot traffic isn’t the same as leads. You need something that makes people pause and engage.

That might be a live demo of your product. It might be something interactive they can try. It might be a genuinely useful giveaway, though be careful here, because a giveaway that attracts everyone attracts a lot of people who’ll never buy. The best hooks pull in the right people, not just the most people.

Whatever you use, tie it to a conversation. The point isn’t to entertain. It’s to start a chat that leads somewhere.

Train your team to work the stand

Your stand staff make or break your lead count. The best stand in the hall does nothing if the people on it are on their phones or talking to each other.

Brief your team before the show. Everyone should know how to open a conversation, what to ask, and what makes a good lead worth capturing. Standing at the front, making eye contact and asking a simple question beats waiting to be approached. Most visitors won’t start the conversation themselves.

Make sure staff take breaks too. A tired team late in the day misses opportunities. Rotate people so the stand always has energy.

Capture leads properly

This is where a lot of shows fall down. Great conversations happen, then nobody records the details, and by the end of the day it’s all a blur.

Have a system. A simple form, a badge scanner if the show provides one, or even a shared note on a phone. Capture the name, the contact details, and a line about what they wanted. That last part matters. A list of names with no context is almost useless when you follow up a week later.

Qualify as you go if you can. A quick note on whether someone is a strong prospect or just browsing saves hours of sorting afterwards.

Follow up fast

The single biggest reason leads go nowhere is slow follow up. People meet dozens of businesses at a show. If you wait two weeks to get in touch, they’ve forgotten you.

Contact your leads within a few days while the conversation is still fresh. Reference what you actually talked about, not a generic template. A specific, timely follow up turns a business card into a real opportunity. A slow, generic one gets ignored.

The foundation underneath all of this

Every tactic here works better on a stand that’s designed to draw people in. Clear branding, an open layout, good lighting and a professional finish do a lot of the work before anyone on your team says a word. A cluttered or amateur stand makes every other part harder.

That’s the part we handle. At Exhibition Stand Hire, we design stands built to attract visitors and start conversations, then build, install and remove them so you can focus on the leads. If you want your next show to bring in more than the last one, tell us the details and we’ll send a free proposal with no obligation.
